Candidate Information Security
As you would expect from us, for the purpose of due provision of services and the development of your career, we collect and process your personal information. We are committed to protecting and observing your privacy and you can find more details about your rights and protection measures we take below.
O.U.R. HR Fabrika provides various HR services, such as the search and selection of candidates, outsourcing of parts of the HR process, consulting, training and education, development, career change, assessment, and the like. In performing our activities, we collect and process various types of information, including but not limited to:
- Name of the candidate, date, and place of birth, contact information and documents proving their identity and right to work, and all other information provided in the CV;
- In case of Linkedin applications, personal profile data;
- E-mail address;
- Information on visits to our website/Portal including (but not limited to) your IP address, browser data, timestamps, locations, country traffic data, location data, blogs, and other communication data and sources you access. With this information, your visit to our website/portal will be easier in the future.
- Data on disability and other sensitive data for exercising your employment rights;
- Photos and videos from training or other events with prior consent;
Purpose of collection
- Providing services such as job search (from candidate application database), assistance with training, or facilitating the application process. This includes sending your CV to potential employers;
- With your consent, for the purpose of direct marketing (by e-mail, message or telephone);
- To further develop, test and improve our website;
- For the purpose of analysis and statistical research;
- For data transfer to third parties;
- To meet legal obligations when necessary: to improve the security and protection of people, premises, systems, and equipment, to monitor compliance with internal policies and procedures, to manage communication and other internal systems, to investigate and respond to incidents and complaints;
O.U.R. HR Fabrika can store your personal information for up to 3 years from registration or change of changes on your profile. If your job search through us is successful (you are hired), we will need to store your personal information for a longer period of time in order to comply with the applicable legal and contractual obligations. In general, we permanently keep your personal information related to taxes, employment contracts, registration and deregistration for mandatory insurances, monitoring of working hours, safety and health certificates… and all other documentation containing data on employees who are no longer employed (original documentation on the basis of which information was entered into the employee’s file and permanently kept) and any financial information. We store other personal information for a period of five to ten years, depending on the time required for certain procedures.
Exporting Personal Information to Third Parties
As mentioned before, we disclose your personal information to third parties in order to meet the aforementioned purposes. We do this in the following cases:
- To hired service providers, such as IT service providers, including video interviews and skills assessment tools (a list of data processors is available on request);
- To our clients / future employers: we will share your personal information with our clients who offer job vacancies that might interest you or that are interested in your profile. They are bound by contractual and other confidentiality obligations with respect to your personal information;
- We will share your personal information with the Government, police, regulatory, or law enforcement agencies if we determine, solely at our own discretion, that we are legally required or authorized to do so or if it would be reasonable to do so, and
With regard to the processing of your personal information, you also have the right to file a complaint with your local personal information protection authorities having jurisdiction in the place where you live or work, or the place where you think your personal information has been misused.
You are responsible for the secure storage of your Portal log-in information, and in particular, for the password, we have assigned to you or chosen by you. These application credentials are for your personal use. You are not authorized to share your credentials or other details of your account with others.
